AI in machinery, with numbers instead of promises.

We come from machinery and plant engineering ourselves. That is why we first ask which process costs you the most time and when a change there pays off. The right tool follows from that.

  • 43%of machinery makers use AI in production, VDMA 2025
  • 44%of companies without AI cite unclear benefits, VDMA 2025
  • 14 of 30AI applications pay off in under six months

Survey, September 2026

Which process costs the most time.

Managing directors and owners from machinery and plant engineering answered a single question: which administrative process takes up the most time in your company, quotes, order processing, documentation or service?

Share of answers, multiple mentions possible

  • 50%documentation, meaning specifications and regulations
  • 29%quotes
  • 21%order processing
  • 0%service

Three observations

What the answers reveal.

  • Time is lost before the machine exists

No answer meant the operating manual. People named specifications, EU regulations and work preparation, in other words requirements work. It usually sits with the same two or three people who are also supposed to design the machine.

  • Nobody names service

Service counts as business, and time that earns money does not feel lost. Yet service reports, spare part searches and fault histories hold hours that, by our numbers, can be recovered in under six months.

  • Those who answer do so within minutes

Anyone who knows their biggest time sink names it at once. In many companies the number lives in the managing director's head or nowhere at all, and that is exactly where tools get bought for problems people only suspect.

The maths per process

Where automation pays off first.

Model calculation for a reference company with 100 employees, not a survey result. The process respondents name most often is also the one where automation pays off fastest.

  • Documentation

    €112,342 savings per year

Fastest payback: operating manual from CAD and bill of materials, 2.4 months.

  • Quotes

    €83,092 savings per year

Fastest payback: pre-screening technical enquiries, 3.4 months.

  • Service

    €55,260 savings per year

Fastest payback: pre-qualifying service requests, 4.4 months.

  • Order processing

    €62,978 savings per year

Fastest payback: condensing supplier communication, 6.7 months.
