In many companies, a quote for a special-purpose machine takes two to three days of design engineering time before a single figure is on paper. The enquiry arrives as a PDF with an eighty-page requirements specification, sales passes it on, and someone in design engineering starts working out the technical side from scratch. The company knows that most of the line items have already been costed at some point in the last three years, but nobody can find them in the time available.
In our survey of managing directors in machinery and plant manufacturing, quotes came second, behind documentation. That matches what we see in projects: it is not the calculating that takes the time, it is the searching, asking around and coordinating that comes before it.
Where the time goes
In the reference company of the use case library, with a hundred employees, the five activities around enquiries and quotes take up 66 hours a week between them. That is more than one full-time position, spread across sales, costing and design engineering. The biggest block is the quote itself, the second biggest are the feasibility questions that sales passes on to design engineering.

Generating quotes from enquiries
The application with the biggest lever and the longest road. The tool pulls up comparable past quotes and suggests line items and text modules, and the estimator makes the decision. This needs an interface to the ERP system and to the quote history, which is why it is a project and not a licence purchase.
In the model company: 24 hours a week, 35 percent of which can be automated, €32,130 a year. Setup €35,000, running costs €770 a month, payback after 18.3 months. Technical pre-assessment of enquiries
The quiet time sink. Every feasibility question from sales lands with a design engineer, even though half the answers are in data sheets and past projects. An assistant working on the company’s own document base answers the standard questions and escalates only the genuine special cases. It builds on the knowledge platform, which only has to be set up once.
In the model company: 14 hours a week, 30 percent of which can be automated, €16,065 a year. Setup €3,500, running costs €300 a month, payback after 3.4 months. Evaluating tenders and requirements specifications
Requirements specifications get skimmed, because nobody has time for a hundred pages. The tool extracts every requirement into a list and flags what deviates from your own standard and what is still open. In the survey, one managing director named the requirements specification as a time sink without being asked, although it was not even one of the options.

Customer briefing before meetings
Before every meeting, the field sales team pieces together the history from CRM, email and notes. A one-page briefing with the open points is produced automatically. Customer data is involved, so clarify the data processing agreement beforehand.
In the model company: 8 hours a week, 40 percent of which can be automated, €9,360 a year. Setup €4,000, running costs €225 a month, payback after 7.2 months. Implementation: licence and training, no infrastructure of your own, 2 to 4 weeks. Tools: Microsoft 365 Copilot, HubSpot AI, Odoo. Drafting sales correspondence
Following up, arranging meetings, standard replies. Drafts are generated from meeting notes, and sales checks and sends them. Nothing spectacular, but it happens every day.

Where to start
The place to start is evaluating requirements specifications, not the big quote project. It pays for itself in three and a half months, needs no interface and takes work off exactly the people who are scarcest in the company. Technical pre-assessment follows as soon as the knowledge platform is in place, and that platform is best built up through the documentation. From then on, it too pays for itself in just over three months. Generating quotes from enquiries is the biggest lever, but it is a six-month project with ERP integration, and it only works if the quote history is clean. Anyone who starts there will have spent a lot of money after six months and still have no proof in-house.

All figures come from the calculation model of the use case library, not from the survey. Reference company with 100 employees, 45 productive weeks a year, fully loaded costs of €65 an hour for commercial staff and €85 for technical staff, licences at €45 per user a month. The model counts only working time saved, set against the full costs, and the savings rates are deliberately at the lower end of what is known from projects and studies. No quality gains, no avoided error costs, no effects on lead time. Replace the assumptions with your own figures, and the model calculation becomes your calculation.
